This Privacy Policy explains how Chambers Colombo (“the firm”, “we”, “us”) collects, uses, and protects personal data when you visit chamberscolombo.com or engage with us through this website. It is issued having regard to the Personal Data Protection Act No. 9 of 2022 of Sri Lanka (the “PDPA”).

1. Who we are

Chambers Colombo is an independent corporate and commercial law firm at 65C, Level 7, Dharmapala Mawatha, Colombo 07, Sri Lanka. 2. The data we collect

• Information you provide. When you complete the contact form or the consultation intake form, or write to us by email, we collect your name, organisation, email address, telephone number, and the details of your inquiry or matter.
• Correspondence. Records of communications between you and the firm.
• Technical data. Our hosting provider processes limited server logs (such as IP address, browser type, and pages requested) to operate and secure the website. This website does not use advertising or tracking cookies.

3. How we use your data

• To respond to your inquiries and correspondence;
• To assess, and where appropriate act on, requests for consultations, including conducting conflict checks;
• To provide the legal services you request under a separate written engagement;
• To maintain the security and proper functioning of the website;
• To comply with our professional, regulatory, and legal obligations.

4. Legal basis for processing

We process personal data on the basis of your consent, the steps necessary to respond to your request and to enter into an engagement, our legitimate interests in operating the firm and its website, and compliance with our legal obligations, as recognised under the PDPA.

5. Confidentiality and privilege

Information submitted through this website before an engagement is established is not protected by lawyer-client privilege. Please do not send confidential or privileged information through the website’s forms. A lawyer-client relationship arises only when the firm has completed its intake procedures and confirmed an engagement in writing.

6. Sharing and disclosure

We do not sell personal data. We may share it with the firm’s lawyers and staff working on your matter; with the third-party service providers who operate the website on our behalf (see below); and where required by law, regulation, or a court of competent jurisdiction.

7. Service providers

The website relies on a small number of processors:

• Website hosting and content delivery;
• Transactional email delivery, for messages submitted through the forms;
• A content management system, for the site’s editorial content;
• Map display (OpenStreetMap) on the contact page.

Some of these providers process data outside Sri Lanka. Where personal data is transferred abroad, we take reasonable steps to ensure it is afforded a comparable standard of protection, consistent with the PDPA.

8. Retention

We retain personal data only for as long as necessary for the purpose for which it was collected — to respond to your inquiry, to fulfil an engagement, and to meet our professional, regulatory, and record-keeping obligations — after which it is securely deleted or anonymised.

We maintain appropriate technical and organisational measures to protect personal data against loss, misuse, and unauthorised access. The firm’s information-management systems are certified to ISO 9001:2015.

10. Your rights

Subject to the PDPA and applicable law, you have the right to request access to the personal data we hold about you, to request its correction or erasure, to withdraw consent, and to object to certain processing.
